Request keeps going into Unfilled

The Unfilled status means that the request cannot be filled. The borrower’s request has been submitted to all lenders in the lender list, and has not/will not be filled by any lender or was changed to Unfilled after the deadline has expired. 

 

Common reasons requests go into Unfilled: 

1. One common reason a request will go into Unfilled is that the resource is not actually requestable. There may be copies in ComCat, and they might even show available, but if they they are not requestable, the lender list will be empty and the request will immediately go into Unfilled. Check the "Where to Find It" table from the full record display to see if the item is requestable or not. 

This item is in a Not requestable location, and the ILL lender column is empty. 

 

2. Lender(s) responded with: "Will Not Supply." If this is the case, this will be shown in the Request history. Lenders may supply a reason, such as that the item is missing or in poor condition. 

 

This item is requestable and available, so why does it keep going into Unfilled? 

Sometimes, a request may not be sent to a lender where the item is actually requestable, so the request will go immediately into Unfilled. A common cause of this is if the item record is missing information that ComCat uses in the lender list. If you believe that an item is requestable and available but the request is going into Unfilled, submit a ticket to the Helpdesk with information about the request. 

 

How can a request get out of Unfilled? 

From the Unfilled status, there are a couple of ways to try the request again. If nothing has changed since the request was first placed, the request will likely back into Unfilled. 

  • Rebuild the lender list - From the full record display, click Rebuild Lender List and confirm in the pop-up that appears. This will generate a new list of possible lenders. The request will go into Awaiting Lenders status, then if lenders are found, into Pending. If no lenders are found, the request will return to Unfilled

  • Approved-Send – First, create a custom lender list in the lender list field (shown above) in the full record display. Then change the request status to "Approved - Send" and click Submit. This will send the request to the lenders on the new list. If lenders are successfully found on the list, the status will change to Pending.
  • Cancel or delete the request. 
  • If no action is taken, the request will move to Expired after the Need by date for the request has passed. From Expired, it will be deleted after 7 days.
